The NHS Workforce Alliance is a collaboration between the following five organisations:

The five organisations have committed to work together, but they are bound by the local policies of their own respective organisations. In order to perform the needs of the business all organisations within the NHS Workforce Alliance are required to share and store personal data.

Personal data may have been given to one of the five partner organisations under the umbrella of the NHS Workforce Alliance, and will, as part of standard business processing, therefore be shared with the other four partner organisations.

The NHS Workforce Alliance does not pass personal data outside of the five partner organisations.

The type of personal data we collect and why we have it

Customer contact information including name, job title, email address, department, organisation, postal address and phone number. Processed for the purposes of providing access to framework documentation, providing support as required by the customer, communication of opportunities, services, information and events. 

Supplier contact information including name, job title, email address, organisation, postal address and phone number. Processed for the purposes of contract management activity under the terms of the relevant framework agreement, communication of services, opportunities, information and events.

Dietary or disabilities requirements may be asked for if you register to attend a conference or event. This information will be anonymised, aggregated and deleted after the event.

As an NHS / public sector body, we communicate with you as we have a legitimate interest in contacting NHS customers:

  • For the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
  • You have provided consent to the processing of your personal data

How we obtain personal data

The source of new contacts comes mainly from customer and supplier engagement, and attendance at webinars, conferences, and events.

Most of the personal data we process is provided to us directly by you for one of the following reasons:

  • You engage directly with the NHS Workforce Alliance
  • You engage with one of the five NHS Workforce Alliance partner organisations

We sometimes use third party databases to access contact information for marketing purposes.  We primarily use this information to communicate with the wider NHS and public sector about events and services.

We use the personal data that you have given us to communicate with you about opportunities, including services and events you may be interested in. Personal data is used to send you information and we may ask you to participate in surveys.

Personal data is shared between the five NHS Workforce Alliance partner organisations. All communications issued are approved by the NHS Workforce Alliance Communications Group and relate to the work and service of the NHS Workforce Alliance.

Website and Cookies

Our website contains links to websites run by other organisations. This Privacy Notice applies only to the NHS Workforce Alliance website and we are not responsible for the policies and practices of other sites.

We use information collected anonymously through our website to analyse user behaviour and inform service development.

The NHS Workforce Alliance website uses technology commonly referred to as ‘cookies’. Cookies are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. Cookies make it possible for your browser to remember your setting and preferences.  Cookies also collect statistical data about your browsing but do not identify you as an individual.  This helps us to improve our website and deliver a more personalised service for you.  We do not pass on your personal data to others in this way.  It is possible to switch off cookies in your browser preferences.

How we store your personal data

The NHS Workforce Alliance stores personal data via a portal managed by NHS North of England Commercial Procurement Collaborative. Personal data is maintained by NHS London Procurement Partnership. It is the responsibility of the five NHS Workforce Alliance partners to protect personal data in accordance with their local Information Governance processes. NHS Workforce Alliance partner organisations are responsible for ensuring these adhere to the UK GDPR principles:

Personal data is kept for as long as necessary in relation to original purpose for which it was collected. 

Data Controller

Individuals can request to see their personal data at any point and request their information is removed at any point.
